BTEC Level 3 in Business – Unit 4: Business Communication Context
Businesses need accurate information. This information has to move between different individuals, different departments and different organisations. The information can be anything from a simple idea to masses of data on business performance. It can come from inside an organisation or from almost anywhere outside. Put simply, a business that does not plan how to deal with this information is a business much more likely to fail. The Scenario
A medium sized business organisation has identified that communication within their organisation is poor. This has resulted in the calling in of a management consultant (you) to help but together a communication strategy. You will be expected to offer guidance on: How and why different types of information need to be communicated in different ways. Where information comes from.
How and why information needs to be recorded and stored.
Explaining what can happen when communication breaks down.
Explaining technological issues affecting information.
What laws and other rules control and constrain the flow of information. You will be expected to produce a report and present your ideas to a selected audience.
Produce a PowerPoint presentation that explains the nature of communication in business and the various types of information used by a business. You must also explain where this information can come from and how it should be used. [P1]
The business has recorded a large financial loss during the last trading year. You have been asked to advise the board of directors on how to give this news to: A meeting of shareholders.
A financial institution, such as a bank, that might loan money to the business. The staff of the business.
In each case the information will be presented in a way that will best suit
the purpose of the business and the recipient of the information. [P2]
Produce examples of the types of documents that would be needed in task 2. [P3]
You will gather examples of real corporate communication documents to evaluate. Comment on the suitability, design and appropriateness of each example. [P4]
There are various laws that govern the use of information in business. In addition to these laws are a variety of ethical issues that have to be addressed. You must explain how the business concerned must comply with these. You should explain current legislation and what codes of practice need to be put in place to safeguard the business and individuals from misuse of information. [P5]
As you should appreciate by now businesses have to deal with information in large volume from various sources in very different forms. Handling all this information will have a fundamental effect on how a business operates. You should advise the business on how these issues should be addressed. Think about: Security issues.

Complexity of information.
Storage and access to information.
You will be directed to information about a major company. You will analyse this information, thinking about: Who would need the information?
How it would be sent/transmitted.
Why it should be sent this way?
What could/should be done with the information?
You will be presented with a fictional case study regarding information and communication within the organisation. You will analyse this and comment on the legal, ethical and operational issues raised by the situation. [M2]
Assignment 2 – The Distinction Tasks
D1 evaluate the appropriateness of business information used to make strategic decisions Choose two functions, such as finance or marketing, of an organisation you have examined and find out what sort of information each function requires and uses. Find recent news stories (from up to the last 5 years) involving the business concerned and assess what strategic decisions have been made by the organisation and how the functional areas examined may have been involved. Evaluate these decisions in terms of how appropriate they were.
D2 evaluate the effectiveness of business information and its communication as key contributors to the success of an organisation, using examples to illustrate your points Research examples of what you consider to be effective business communication that has used information well. These can be in the form of advertising or promotion, a press release or response to a news story, criticism or complaint. In order to make a full evaluation it would be wise to compare your offering with some less effective examples.
Assessment and grading criteria
In order to pass this unit, the evidence that the learner presents for assessment needs to demonstrate that they can meet all the learning outcomes for the unit. The assessment criteria for a pass grade describe the level of achievement required to pass this unit. use of business information [IE, CT] P6 explain the operational issues in relation to the use of business information [IE, CT] To achieve a merit grade the evidence must show that, in addition to the pass criteria, the learner is able to: M1 analyse different types of business information and their sources M2 analyse the legal, ethical and operational issues in relation to the use of business information, using appropriate examples.
To achieve a distinction grade the evidence must show that, in addition to the pass and merit criteria, the learner is able to: D1 evaluate the appropriateness of business information used to make strategic decisions D2 evaluate the effectiveness of business information and its communication as key contributors to the success of an organisation, using examples to illustrate your points.
